Tendergate

Reports

See what your organization bought and bid for in a period, for how much, how fast, and against how much competition.

Reports in the top menu sums up your workspaces for a period. Every member of the organization can open it.

Buying and Bidding

Reports has two tabs. You see only the tabs you use:

  • Buying covers your buying workspaces: the procurements you prepare, publish or analyse bids for.
  • Bidding covers your bid workspaces: the tenders you consider and bid for.

Filters

  • Period: this or last month, quarter or year, the last 12 months (the default), or a custom range of up to five years. For a custom range, pick both dates and press Apply.
  • Owner: anyone, you, or one colleague.
  • Group: one of your organization's groups, such as a department. Shown on the Buying tab when your organization uses groups.

A workspace counts in the period of its submission deadline. A workspace without a deadline counts in the period it was created in. AI work, such as bid analyses and RFP reviews, counts in the period it finished in.

What the Buying tab shows

  • Workload: procurements, tenders published on Tendergate, procurements with analysed bids, and the AI work done. A chart shows procurements per month (per quarter for ranges over two years), with a breakdown by owner and one for each group type, such as department.
  • Amounts: the estimated value (excl. VAT), the awarded value of approved awards, and savings against the estimate. An award for some of the lots is compared with those lots' estimates. When you use procurement planning, the planned value and how many planned purchases have started.
  • Timelines: the typical days from workspace to publication, from publication to deadline, and from deadline to an approved award.
  • Competition: bids per procurement, the share of procurements with a single bid, tenders that got no bids, and the bidders you see most often.

What the Bidding tab shows

  • Workload: tenders considered, the bid / no-bid decisions, bids submitted, and the AI work done. A chart shows bids submitted per month, with the won ones inside them, and breakdowns by owner, buyer and CPV division.
  • Amounts: the estimated value of the tenders you bid for, won and lost. These are the tenders' estimates from the notice or your workspace, not your bid prices.
  • Timelines: the typical days from opening a workspace to the first bid / no-bid decision, and to the submission deadline.
  • Outcomes and competition: your win rate by count and by value, won, lost, withdrawn and waiting bids, and how many offers the tenders received when the notice says so.

How the numbers are counted

  • Amounts in euro are added up. Amounts in other currencies, and awards that include VAT, are shown next to the total, never added to it.
  • When some workspaces have no value, the tile says how many have one, for example "Value known for 7 of 10".
  • A share needs at least three cases. With fewer, the tile shows the counts, for example "1 of 2", instead of a percentage.
  • Timelines show the middle value, so one very long procurement does not skew them.
  • Bids of a sealed tender count once the tender is opened. Bids you entered yourself, for a tender that takes bids elsewhere, count once its deadline has passed.

Who sees what

  • In a private company, amounts on the Buying tab follow the same rule as Planning → Spending: owners and admins see all amounts, approvers see the amounts of their groups, other members see none.
  • Bids of a restricted tender count only for its openers and evaluators.

See Roles and permissions.

The workspace list and CSV

Under the tiles, Workspaces in this report lists every workspace behind the numbers, with its deadline, status, values and owner. Download CSV exports the whole list with the same filters.
