AI usage

See what your organization spends on AI work, and set a monthly credit limit.

Owners and admins can see how many credits the organization spends on AI work, and set a monthly limit to keep spending in check.

Open Account settings → AI usage.

What you see

  • Credits used this month, with the euro amount next to it, and your current credit balance.
  • A month selector covering the last 12 months.
  • By user and by agent - which team members and which AI agents used the most credits.
  • Most expensive runs - the individual runs that cost the most, each linked to its procurement. A deleted procurement shows by name, without a link.
  • Last 6 months - a trend of total credits used per month.

Work that ran automatically in the background, such as requirement extraction for an auto-prepared bid, shows as Automatic.

Not attributed covers credits the app cannot link to a person:

  • Runs for which Tendergate has no recorded initiating user.
  • Credits used before this page existed.

Setting a monthly limit

By default there is no limit. To set one, open Account settings → AI usage and fill in Monthly limit:

  • Credits per month - leave empty for no limit.
  • Warn at (%) - the usage level that triggers a warning. Defaults to 80%.
  • At the limit - what happens once usage reaches the limit:
    • Block new AI runs (default) - new AI runs, including automatic background work such as requirement extraction for auto-prepared bids, pause until the 1st of next month or until an owner or admin raises the limit.
    • Warn only - AI runs keep going.

The limit is checked when AI work starts. Work that is already running always finishes, so a month can end slightly above the limit.

  • Answering a paused run so it can go on is never blocked.
  • Restarting a failed run counts as new work, so it is blocked while the limit blocks new runs.

Changing the limit is recorded in the audit log.

Connected chat app allowances

Work started through Connected chat apps (MCP) uses the same organization credit balance and spending checks. Its posted charges are attributed to the user who connected the app, including preparation and follow-up work belonging to the operation.

Each connection that can start paid work also has its own monthly allowance, managed under Account settings → Connected apps. That allowance blocks new starts when posted usage reaches it; active work may finish above it. An organization set to Warn only does not remove a connection's own limit. Cancelling work still charges the usage incurred before it stops.

Warnings

When usage reaches the warning level or the limit, everyone in the organization sees a banner at the top of the app, including inside procurements. Owners and admins also get one email at the warning level and one email when the limit is reached, each month.
